General Conditions of Entry

Data Protection and Confidentiality

Sparta reserves the right to publish the entrant’s name, club affiliation, country of origin, firm, date of birth, and nationality on bib numbers and in the list of results. All personal data given by you will be handled by the organisers and will not be passed on or sold to a third party except in the above mentioned cases or in anonymised statistics. E-mails will be used solely to send relevant information regarding the race unless otherwise agreed upon.

Use of Media Material

Photos, footage, interviews, and other media material in which entrants appear can subsequently be used freely by the organisers, partners and sponsors for whatever purpose related to Sparta’s events, including for marketing purposes. All printed and digital photos on websites, Facebook, Instagram, and Twitter are subject to copyright ownership and may not under any circumstances be used for marketing or commercial purposes unless specifically agreed upon in advance. Official press photos, which are made available in the Media Package, can be used freely in reference to Sparta’s race events. For permission to use other photos, please contact the organisers.

Bib Numbers

Bib numbers are typically to be collected on race day at the starting area or at an expo, except bib numbers for the DHL Stafetten (DHL company relay), which are sent out by mail.

Entrants are required to present their registration card, which is sent out per email before the event, to have bib numbers handed out.

Special Conditions or Equipment

Blind and otherwise physically impaired persons are allowed entry provided they show due consideration to fellow runners. Special equipment, such as handchairs or wheelchairs are allowed only by previous agreement with the organisers.

Participation with baby joggers is strongly discouraged due to risk of extreme weather conditions, loud noises or otherwise potentially harmful conditions.

Time Limit

At the Copenhagen Marathon and the Copenhagen Half Marathon there are time limits of respectively 6 hours and 3 hours (net time, i.e. from the time the entrant crosses the starting line).

Confirmation and Registration Control

Immediately after submitting your registration, you will receive a confirmation e-mail with a receipt, and your name will appear on the entry list. If you do not receive this e-mail, if it contains errors or omissions, or you are not listed on the entry list, please contact customer service or log into your personal entrant profile to update your participant data. It is the entrant’s responsibility to ensure that the data entered in his/her entrant profile is up to date at any time.

Prices, Handling Charge, and Payment Facilities

Starting fees are exempted from VAT in accordance with the Danish legislation on amateur sports’ exemption from VAT. Sparta Athletics and Running will charge a handling fee of DKK 15 (VAT included) per entrant (or, in the case of DHL Stafetten, per team). Payment methods include debit card, Visa debit, VISA, Euro Mastercard, VISA Electron, Diners Club, MobilePay Online, and Maestro.

Online Application Security

The payment system is secured against identity theft with a so-called TLS solution which is a system that encrypts all your bank card information. This means that neither we nor anyone else (with the exception of Nets and Bambora) have access to your bank card information. Furthermore, the TLS-system ensures that data between your browser and our server cannot change.

DIBS manages the payment module. You have the option to decline payment once you receive your payments statements and you are not liable if you are the victim of bank card fraud in an internet store if its payment system uses a TLS-certificate.

Product Liability, Right of Cancellation, and Reimbursement

Pursuant to the Danish law on consumer protection in e-business, the organisers are responsible for product liability. According to the law on e-business, the entrant (the buyer) has no right of cancellation since the agreement does not include recreational leisure time activities.

It is possible to transfer an entry purchased at full/regular price to a different person against a handling fee. Complimentary entries or entries purchased at reduced price cannot be transferred unless a specific agreement has been made with the organizer. Fees, procedures and specific terms for transfer of Copenhagen Marathon and Copenhagen Half Marathon entries are stipulated on cphmarathon.com and cphhalf.com.
Any unauthorized use of a bib number can and will lead to disqualification. Organizer can not be held responsible for fraud and abuse related to the transfer of bib numbers, even if the transfer has been mediated on Copenhagen Half Marathon’s official channels, e.g. Facebook or Instagram. According to Danish Law, it is prohibited to resell sports events tickets for more than face value, unless this has been arranged with the organizer.

Liability, Errors and Omissions

The entrant should be sufficiently fit and healthy to finish the race unaided. At some races, it will be possible to enter specific medical or health conditions on the back of the bib number for the convenience of the medical aid staff.

By applying, the entrant automatically accepts that participation is at one’s own risk and that the organisers, their business partners, or sponsors cannot be held liable for injuries incurred or inflicted during the race unless the organisers are directly to blame.

Entrants under the age of 18 confirm that their parents or guardian have given their acceptance to the minor’s participation in the race.

Cancellation and Force Majeure

Organisers have the right to cancel the race due to Covid-19 restrictions or due to general circumstances caused by Covid-19. In such case, the entrant has the right to get a refund of his/her entry fee.

Organisers also have the right to cancel the race in the event of force majeure, i.e. due to circumstances or conditions on or close to race day that makes it impossible to go through with the race. Acts of force majeure include, but are not limited to enforcement or prohibition notices issued by the authorities, violent weather, major accidents, emergency situations or other circumstances beyond the reasonable control of the organisers. In case the organiser has already defrayed all or a major part of the costs and expenses related to the event, the entrant is not entitled to a refund of his/her entry fee or any other expenses related to the entrant’s participation in the event.

In the event of such extraordinary incidents or circumstances, the organiser will take all possible appropriate and timely measures to minimize the costs and losses associated with the cancellation. In case the event should yield a profit, entrants will be offered a partly refund of his/her entry fee.

Possible Errors and Omissions

The organisers shall not be held liable for potential errors or omissions in regards to prices or event specifications both online and in printed material. All published information is subject to possible changes.
