Terms and Conditions

The conditions mentioned below apply to all acquisitions of start numbers for an event arranged by Sparta Athletics & Running.

In purchasing a start number, you enter into agreement with:

GENERAL ENTRY CONDITIONS

  • A race bib is personal and it is the entrant’s responsibility to enter correct personal information. The unauthorised use of a race bib can and will result in disqualification. It is possible to transfer an entry to a different person against a fee; read more under ‘entry transfer’.

    Sparta Athletics & Running reserves the right to publish the entrant’s name, club affiliation, company, date of birth, and nationality on race bibs and in entry and results list. All personal data given by you will be handled by the organisers and will not be passed on or sold to third parties except from the above published information or in anonymised form for statistics purposes. E-mails and mobile phone number will be used solely to send necessary information regarding the race to the runners. The entrants are not able to unsubscribe information emails, as these are necessary to ensure a successful organization of the event. Entrants have the option to unsubscribe to mobile text messages by deleting their phone number, however, if he or she chooses to do so, it will not be possible for the entrant to receive their registration card, results etc. by text message.

  • Photos, footage, interviews, and similar media material in which the entrants appear in relation to an event can be used by the organisers, sponsors and partners freely, including for marketing purposes. All printed and digital photos on websites, Facebook, Instagram, and Twitter are subject to copyright ownership and may not under any circumstances be used for marketing or commercial purposes by third parties without agreement.

  • Race Bibs for a race can be collected prior to race start within the time span and location announced by Sparta Athletics & Running prior to the event. In order to receive the bib, the entrant is required to present his/her registration card, which is issued per email shortly before the event.

    Race bib pick-up on race day is fully at the entrant’s own risk, including delays due to e.g. traffic, queue for pick-up or similar.

  • When a member of Sparta Athletics & Running enter a race event, the general terms and conditions for memberships of Sparta Athletics & Running apply to the race event entered.

  • Blind or otherwise physically impaired persons can participate on equal terms as other runners and are welcome to bring a guide, if one is needed. However, it is not allowed to have a bike guide on the course. The guide does not need to enter the race.

    Special equipments, such as baby joggers and handbikes and babyjoggers, are allowed only by previous agreement with the organisers. We recommend not to run with baby joggers due to the risk of warm weather conditions, loud sounds or similar.

    Everyone participating with special equipment must show consideration and respect instructions from officials and the race management at all times.

  • For the Copenhagen Marathon and the Copenhagen Half Marathon a course time limit applies. Read more about the time limit on the respective websites.

GENERAL CONDITIONS OF SUBSCRIPTION

  • Immediately after submitting your registration you will receive a confirmation e-mail with a receipt. If you do not receive this e-mail or if it contains errors or omissions, please contact customer service. The entrant also receives a personal login to his or her personal entry profile handled by Ultimate Sport Service. It is the entrant’s responsibility to ensure that the data entered in his/her entry profile is up to date at any time and to update the participant data or inform Sparta Athletics & Runnning of the needed changes.

  • Entrance fee is exempted from VAT in accordance with the exemption in Danish legislation on amateur sports. Ultimate Sport Service will charge a handling fee of DKK 20 VAT included per entrant. Payment methods include debit card, Visa debit, VISA, Euro Mastercard, VISA Electron, MobilePay Online, and Maestro.

  • The payment system is secured against identity theft with a so-called TLS solution which is a system that encrypts all your bank card information. This means that neither we nor anyone else (with the exception of QuickPay, NETS og Clearhaus) have access to your bank card information. Furthermore, the TLS-system ensures that data between your browser and our server cannot change.

    The payment module is managed by QuickPay.

  • Pursuant to the Danish law on consumer protection in e-business, Sparta Athletics & Running is responsible for product liability. According to the law on e-business, the entrant (the buyer) has no right of cancellation since the agreement does not include recreational leisure time activities.

  • It is possible to transfer your entry to someone else against a fee. The fee is paid by the entrant who is transferring the entry. The transfer is conducted through the participant’s online entry profile and is not officially completed before the new entrant receives a valid voucher code in an e-mail issued by the organiser.

    Complimentary entries and entries purchased with a discount or in any way at a reduced price cannot be transferred.

    The unauthorized use of a race bib can lead to disqualification, and the organiser cannot be held responsible for fraud and abuse related to the transfer of entries, including entries that have been sold or bought via the race event’s official platforms including Facebook or Instagram.

    Persuant to Danish law, it is not allowed to offer or resell tickets for sports and culture events at a higher price than the original purchase price unless it is in agreement with the organiser. This also applies to entry transfers.

  • It is not allowed to offer, sell or resell acquired race bibs with a commercial purpose, e.g. as part of a package sale in combination with other products or services, for competitions or similar use unless in agreement with the organiser.

    In case of violation, organiser has the right to annul the race bib/bibs.

LIABILITY, ERRORS AND OMISSIONS

  • The entrant should be sufficiently fit and healthy to finish the race unaided. It is possible to enter any specific medical or health conditions on the back of the bib for the convenience of the medical team.

  • By entering the race, the entrant accepts that participation is at one’s own risk and that the organiser, partners or sponsors cannot be held liable for injuries incurred or inflicted during the race unless Sparta Athletics & Running are directly to blame. Entrants under the age of 18 confirm that their parents or guardian have given their acceptance to the minor’s participation in the race. Please notice that you must be 16 years of age to participate in Copenhagen Marathon due to the long distance.

  • The organiser have the right to cancel the race in the event of force majeure, i.e. due to circumstances or conditions on or close to race day that makes it impossible to go through with the event. Acts of force majeure include, but are not limited to enforcement or prohibition notices issued by the authorities, violent weather, major accidents, emergency situations or other circumstances beyond the reasonable control of the organiser. In case the organiser has already defrayed all or a major part of the costs and expenses related to the event, the entrant is not entitled to a refund of his/her entry fee or any other expenses related to the entrant’s participation in the event.

    In the event of such extraordinary incidents or circumstances, the organiser will take all possible appropriate and timely measures to minimize the costs and losses associated with the cancellation. In case the event should yield a profit, entrants will be offered a partly refund of his/her entry fee.

  • When entering the event, you are asked to accept the above terms and condition. By accepting you fully agree to the terms including that participation is at your own risk, and that you accept the terms regarding postponement or cancelation of the event.

  • The organisers shall not be held liable for potential errors or omissions in regards to prices or event specifications both online and in printed material. All published information is subject to possible changes.
